1. I get the message "File references table cannot register additional files! Please use File manager to delete Calendars and Address Book files that you are no longer using!"

This message may appear if your data is moved over a network, or transferred manually rather than backing up the data with DeskTop Set’s Backup utility. This issue may also be the result of Windows crashes, sudden power losses or surges, or disk problems.

To reset your File References table:

1. Quit all DeskTop Set applications.

2. Delete the file named OKNAFILE.STP from your c:\dts\data directory.

3. If this message appeared while you were using ToDo lists, please also delete the files named TODOFILE.STP and TODOGRP.TBL.

4. Restart DeskTop Set. This message should not appear again.

If you find that this does not resolve the problem, the issue may be that you have too many ToDo files in your data directory. The above procedure should allow you to access the ToDo tab of Calendar. Then:

1. Choose File/Open from the menu.

2. Open an old ToDo list, that you do not need anymore.

3. Choose File/Delete Todo list… from the menu to delete this list.

4. Repeat this procedure for any old lists you may have. DeskTop Set can hold a maximum of 64 separate ToDo lists. Beyond that, you may begin getting the above error message.

2. I get the message "Unable to open To-do File" after deleting my Todo files.

To resolve this issue, reset your To-do settings:

1. Quit all DeskTop Set applications.

2. Delete the files named TODOFILE.STP and TODOGRP.TBL.

3. Restart DeskTop Set. This message should not appear again.

3. I do not see the "Edit/Link" command that my User Guide refers to.

This command was changed just before Version 6 was released. The Link command now appears under the Dial menu. To link an address book entry to an event, choose the Dial/Link command.

4. I do not see the "View/Day split" menu that my User Guide refers to.

This feature was changed just before Version 6 was released. In order to split the Day view, click the Reminder and Phone Log icons, which appear just above the first event, on the right side of the screen.

5. My events do not print out in chronological order.

To resolve this issue:

1. Choose File/Setup from the Calendar’s menu.

2. Click the General tab at the top of the Setup window.

3. Under the Sort options list, check the box marked “Sort event on opening”.

4. Click OK.

This will force Calendar to sort your events each time you start Calendar. You may also select Edit/Sort from the menu to sort your entries at any time.

6. I can't create events past Dec. 31 of a particular year.

DeskTop Set's calendar files have a five-year range, beginning on January 1 of the year that the calendar file is created. For example, a calendar created on any day in 1995 will have a date range of January 1, 1995 through December 31, 1999. This is done to prevent a recurring event with an infinite range from eating up hard drive space.

To resolve this:

1. Choose File/New calendar… and follow the prompts to create a new calendar file.

2. Open your existing calendar - the one that has reached the end of its range.

3. Choose File/Utilities… and click the Transfer tab.

4. Specify a transfer range from January 1st of the current year to the latest date possible.

5. Click the Transfer button. Then select the calendar file you just created, in Step 1, above, and click OK.

6. When the transfer is complete, open the new Calendar file.

This new calendar will now be your main calendar - it starts with January 1st of the current year, and runs through to December 31, five years later. Your other calendar - the one whose events you just transferred - can still be kept on the system, and will provide you with an archive of past years’ events.

Please note: Since your recurring events were created in an older Calendar, they may be set to expire before this new calendar does. As recurring events come up in the new Calendar, go to each event's setup and check that the event is set to recur as far into the future as you need it to.

Transferring Holidays and Templates: If you customized event templates or added new holidays to your old calendar file, you will also need to copy these into your new calendar. To do this:

1. Open the new calendar.

2. Choose File/Setup from the menu.

3. Click the Templates tab.

4. Click the Copy button.

5. Highlight your old calendar file - the one you wish to copy event templates from.

6. Click OK to copy the templates from this calendar into your new calendar.

7. Repeat this procedure on the Holidays tab, if your old calendar also has custom holidays.

7. The message "Unable to open file" appears when I try to open my file.

This message may appear if your files are moved over a network, manually placed on the hard drive, or restored from a backup made on a machine with a different DeskTop Set data directory.

To resolve this issue, click OK repeatedly as these messages appear, until you return to a blank address book. Then click File/Open from the menu, locate your file, and open it. This message should not appear again, (although it may appear on other address books; if this message appears with other books, repeat this procedure).

8. The file tabs at the bottom of the screen are not working.

Your file tabs may stop working correctly if your files are moved over a network, or manually copied to a hard drive instead of using the DeskTop Set Backup utility. If a file tab does not open the appropriate file:

1. Right-click the tab, and select Delete from the window that appears. Please note that this will not delete your calendar! It will only remove the tab.

2. Choose File/Open from the Calendar menu, locate your file, and open it. A new file tab will appear at the bottom of the screen.

9. How can I schedule more than 19 events for a particular day?

You may schedule a maximum of 19 events per day. This may appear to be limiting; however, because phone calls and reminders are scheduled separately from events, it is unlikely that you will have more than nineteen scheduled or alarmed events in a single day.

To prevent your list of important events from becoming cluttered, enter your scheduled phone calls as reminders. Use To-Do lists for "loosely scheduled" or floating events. If you do find that you need more than 19 scheduled events in one day, you can also create a second calendar (for example, one for business events, and one for personal events) and quickly switch back and forth using file tabs. You can also view the calendars side-by-side using the Group tab.

10. How can I delete multiple days worth of events (i.e., all of 2006)?

In order to purge an entire year's worth of data, create a new calendar and transfer those dates you wish to keep:

1. Choose File/New calendar… and follow the prompts to create a new calendar file.

11. Why are the current date and time incorrect in Calendar?

DeskTop Set’s Calendar refers directly to your PC’s date and time. If these settings are incorrect, make any necessary changes directly in Windows/

 

Alarm Monitor

1. How can I change the Alarm Monitor's grace and advance periods?

The Grace Period allows you to view reminders that were scheduled for recently past days. The Advance Period allows you to view reminders that are scheduled in the near future.

To change the number of grace or advance days:

1. Right-click the Alarm Monitor icon on your Windows TaskBar Tray.

2. Select Monitor setup… from the menu that appears.

3. Click the Monitor tab.

4. Set the number of grace and advance days in the Reminder range section of this window.

You Alarm Monitor will now display a reminder this many days before, and for this many days after, the actual reminder is scheduled.

2. Can I choose which calendars the Alarm Monitor watches?

Yes, by doing this:

1. Right-click the Alarm Monitor icon on your Windows TaskBar Tray.

2. Select Monitor setup… from the menu that appears.

3. Click the Monitor tab.

4. In the Calendar files list, check the calendars you wish to monitor. Remove the checkmark from any calendar whose alarms you wish to ignore.
